Registration of Events

Definition: A process by which a student organization's event is reviewed and recorded with the Student Life & Leadership Office. Registrations of Event forms are available at the Student Union and they will be able to assist you with the process of registering your event.

Registration: Registration for your event is suggested, at least two weeks in advance of the activity.

The following needs to be registered:

Club meetings (required to register once a term the time and locations)
All activities sponsored by clubs/organizations, which include the following:

Seminars, fairs, trips, conference, campus feeds, holiday events, raffles, speakers, car washes, fundraisers, receptions, etc...

After the event has been registered, you will receive one copy for your planning file. The other copy will be placed in an events notebook so the Student Life & Leadership Office will be able to locate information about the event when students come to ask additional information about the event.

Evaluation: The evaluation process is an important process in helping the next group of students in planning and organizing activities. There may be some traditional activities that your group may sponsor each year and are very successful, and yet there may be some activities that maybe shouldn't happen again. The evaluation process will give those people thinking of doing a similar event some strategies for creating a successful event. The evaluation process should provide suggestions for publicizing your event, if the location was adequate or should it be relocated, how the attendance was, and suggestions for improvements and new ideas. Please take the time to fill out an evaluation form and file along with any other information you have about the planning and organizing of an activity in your club or organizations files.

Each activity should have a folder. The following should be placed in the folder:

  • Copy of Registration of Event form
  • Copy of Scheduling Request form
  • Copy of Contract (if contract required)
  • Copy of Maintenance Request (if required)
  • Release of Liability Form (if required)
  • List of Contacts made
  • Copies of Flyers, and other publicity
  • List of committee
  • Financial Statement (any expenses and revenue from event)
  • Timeline
  • Misc. (decorations, Thank you's, receipts, etc...)
